JOB SUMMARY:

The Fiduciary Legal Administrator’s primary responsibility is to directly support PCG Fiduciary Counsel, all partner trustees, and trust client services team by assisting with fiduciary and corporate matters relating to the administration of trusts and other fiduciary accounts. The Fiduciary Legal Administrator works closely with PCG Fiduciary Counsel, who will delegate assignments and supervise work. The Fiduciary Legal Administrator also supports members of the trust client services team on complex matters relating to the administration of in-house trusts. The Fiduciary Legal Administrator reports to the PCG Practice Manager.

ESSENTIAL FUNCTIONS:

  1. Completes subscription agreements for investment funds to be held in trusts.
  2. Drafts loan documents incidental to borrowing of trust assets.
  3. Assists with coordination of tax information of complex investments held in trust.
  4. Assists partner trustees and trust client services team with tracking information relating to trusts, with matters relating to the administration of complex assets, and on relationships where PCG is providing family office services.
  5. Researches and prepare oral and written analysis of issues related to trusts of which partners serve as trustees.
  6. Assists with formation, administration and annual reporting of entities.
  7. Assists Fiduciary Counsel on other assignments related to the administration of trusts of which partners serve as trustees.
  8. Assists PCG Fiduciary Counsel and fiduciary team with trustee succession projects, including review of trust instruments, drafting documents related to trustee succession, and tracking the status of succession. Demonstrates substantive knowledge of the trust documents and what is to be accomplished in the trustee succession documents.
  9. Drafts high quality basic estate planning documents, including, but not limited to, powers of attorney, health care proxies, wills, codicils, trusts, trust amendments, trustee transition documents, LLC documents, and promissory notes; prepares beneficiary designation forms, client letters, and estate plan summaries and flow charts.
  10. Utilizes HotDocs to draft estate planning documents.
  11. Performs other assignments consistent with the execution of the above responsibilities as determined by the PCG Practice Manager and PCG lawyers.
  12. Responsible for billing a minimum of 1500 hours of trust-related work.

  • Must be flexible in order to respond quickly and positively to shifting demands and opportunities and to follow up and follow through. Able to work under tight deadlines, handle multiple, detailed tasks simultaneously, prioritize appropriately and delegate to resources available.
  • Appropriately utilizes firm resources (e.g. secretarial services, copy center). Clearly describes work output needed and deadlines.
  • Routinely solicits feedback from assigning attorneys, peers and supervisor; follows up with the feedback provider to gauge improvement over time.
  • Seeks out and participates in job-related trainings.
  • Proactively covers for other Legal Administrators when they are out of office or as needed during periods of heavy volume.
  • Takes initiative to share unique job-related skills with other Legal Administrators and other staff; shares newly acquired knowledge with the Legal Administration team. Is available to answer questions and help other Legal Administrators with assignments as needed.

EDUCATION AND EXPERIENCE REQUIRED:

Law degree or advanced degree and at least two (2) years professional experience within an estate planning practice, wealth management firm or office handing sophisticated estate planning work preferred. Expertise with Word, Excel, PowerPoint and ability to develop other technological know-how. Experience with document automation and CRMs preferred.
